The Opportunity

The Program Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s Program department.

Responsibilities

  • Provides executive assistant support to the Vice President, Program.
  • Performs administrative tasks to support the Program department including coordinating calendars, scheduling meetings, and managing appointments to facilitate program department operations.
  • Maintains accurate and up-to-date files, records, and documentation.
  • Supports and participates in phone coverage schedule for organization.
  • Contributes ideas and efforts to enhance and promote a positive workplace culture.
  • Ensures availability to address inquires and maintain effective communication.
  • Assist in preparing and distributing program materials, reports, and documentation.
  • Facilitate effective communication between team members, program participants, and stakeholders.
  • Coordinate logistics for program-related meetings, events, and workshops.
  • Regularly review and manage Program’s email box.
  • Maintain accurate records of program-related data, including participant information, feedback, and program outcomes.
  • Assist in the administrative management of internal grants associated with the organization’s programs.
  • Ensure compliance with internal grant requirements and deadlines.
  • Support the efficient functioning of day-to-day operations.
  • Generate reports and summaries to assess program performance.
  • Assist in the planning and execution of events associated with the organization’s programs.
  • Performs other duties as assigned.

Required Skills & Abilities

  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite, project management software (Asana), document management (Box), grant management software (Fluxx), and other technological software.
  • High degree of organization, attention to detail, and ability to multitask.
  • Ability to work collaboratively in a team-oriented environment.
  • Working knowledge of nonprofit organization, a plus.

Education and Experience

  • High school diploma 
  • Prior related experience in administrative roles, preferably in program support is required. 

Benefits & Salary

The targeted salary for those entering this role is $43,600-54,500.

The Community Foundation for Southeast Michigan offers a robust benefits package including 20 days of vacation accrued monthly, 5 personal days, 13 holidays, 9 sick days accrued monthly, paid parental leave, and employer paid short/long-term disability.

The Community Foundation also offers a pension retirement program after 1 year of service which contributes 10% of salary.

This position is a hybrid role, necessitating a physical presence in the office for a minimum of three days per week for at least the first 90 days of employment.
